We are seeking a highly organized and customer-focused Call Centre Dispatcher to join our Customer Call Centre team. This role is pivotal in ensuring efficient arranging and scheduling of appointments and job assignments for our field engineers. The ideal candidate will have excellent communication skills, a proactive mindset, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities:
- Responsible for the entire daily planning and mapping for production areas.
- Conduct outbound customer calls using the telephony system.
- Respond to inbound customer inquiries promptly and professionally.
- Updating of ERP system to allocate jobs and remove jobs if necessary due to absence.
- Daily monitoring of PO’s with Team Lead, Contracts Manager, Production Lead & Operations Manager.
- Preparation of sign off of following days planning map.
- Highlight scheduling issues to your Team Lead, Contracts Manager and Operations Manager.
- Log customer feedback as required and action accordingly.
- Communicate new work streams to the team.
- Provide clients with daily reports. i.e Running Orders, Request backs and ad-hoc requests under the direction of your line manager.
- Monitor and respond to Scheduling/Planning related queries via WhatsApp and phone calls.
- Review and monitor rescheduled jobs.
- Assess and recognise opportunities for enhancement within your department.
- General administration requirements relevant to the department.
Skills Required:
- IT Proficient – confident in the use of IT systems and applications and the ability to learn new systems.
- Microsoft Office – Excel, PowerPoint, Outlook, Word.
- Excellent communication skills.
- Excellent Customer Service.
Experience:
- Administration – 1 year preferable.
- Microsoft Excel – 2 years preferable.
- Training will be provided on current systems (ERP System, CRM System & Microsoft Office).
